12 AI Lead Response Examples You Can Adapt Today
Starting from nothing is hard, so here are twelve AI lead response examples across different small businesses. They are illustrative: the businesses, names and wording are invented to show a shape you can adapt, not real customer messages or results. Each one shows a first reply and a note on why the structure works. Swap in your facts, and keep the rule that nothing goes out unread until you trust it.
Lesson 5.4 shows how to set up the instant reply behind all of these: Reply to every new lead in five minutes.
Every good first reply does the same four things: names the question, gives one real fact, says what happens next, and offers one step.
Why shape matters more than wording
A 2011 Harvard Business Review study of 1.25 million leads found that firms contacting a lead within an hour were nearly seven times as likely to have a real conversation with a decision maker as firms who waited an hour longer. It was US based, mostly larger firms, and measured conversations not sales. So speed is worth testing, and a reply that arrives quickly still needs to be worth reading. These examples focus on that second part.
The examples
Keep each reply under about 120 words. Replace anything in brackets.
1. Portrait photographer.
Hi Maya, thanks for asking about a family session. Sessions run about an hour at a park near you. The quickest step is to pick a time here: [link]. Alex
Why it works: it names the request, gives one fact, and has one step.
2. House cleaner.
Hi Tom, thanks for asking about a weekly clean for a three bedroom house. I need to see the home or get a few details first. Could you tell me roughly how many bathrooms there are? I will reply tomorrow morning with next steps. Sam
Why it works: one question moves the lead forward without quoting a price.
3. Personal trainer.
Hi Lena, thanks for asking about training for a first 10k. I start with a 20 minute chat about your goals and any injuries. Pick a time that suits you: [link]. Chris
Why it works: a short, low pressure first step.
4. Bakery with custom cakes.
Hi Sam, thanks for asking about a cake for 20 people. I need about two weeks notice. What date do you have in mind, and are there allergies I should know about? I will confirm availability by tomorrow. Priya
Why it works: it asks for the two facts that decide whether the order is possible.
5. Bookkeeper.
Hi Ravi, thanks for getting in touch about your accounts. I work with sole traders and small limited companies. The first step is a 15 minute call to understand what you have: [link]. Dee
Why it works: it states who the service is for, so the wrong fit sorts themselves out.
6. Garden maintenance.
Hi Dana, thanks for asking about an overgrown back garden. A first visit takes about 30 minutes. Pick a time here: [link]. Jo
Why it works: it tells the reader how big the commitment is.
7. Wedding florist (flagged hot).
Hi Ayesha, congratulations. Thanks for asking about flowers for your wedding on [date]. I will check my diary today and call or email you by this evening. In the meantime, could you send a photo of anything you like? Mia
Why it works: a date and a high value lead mean this goes to a person quickly, so the reply promises a human follow up.
8. Language tutor.
Hi Pedro, thanks for asking about Spanish lessons. Lessons are 45 minutes online. I offer a short trial lesson so we can check the level: [link]. Marta
Why it works: a trial lowers the risk for the buyer.
9. Mobile mechanic.
Hi Greg, thanks for the message about the noise from your front brakes. I cover the north side of town. Could you send your make, model and year? I will reply today with the earliest slot. Kofi
Why it works: it asks only for what is needed to decide.
10. Consultant (business to business).
Hi Priya, thanks for your note about onboarding. I work with teams of 5 to 50. A 20 minute call is the best way to see if it fits: [link]. Noor
Why it works: a clear size range filters the lead.
11. Online course creator.
Hi Ben, thanks for asking whether the course suits beginners. It starts from zero and no tools are needed. The first lesson is free to preview here: [link]. Ana
Why it works: it answers the exact doubt the lead had.
12. Event photographer after hours (out of hours variant).
Hi Lucy, thanks for asking about photos for your event on [date]. It is late, so I will reply properly tomorrow before 10am. If you can send the venue and the number of guests, I can check the date straight away. Omar
Why it works: it is honest about timing and keeps the lead moving.
What the twelve share
Look back and the pattern repeats.
- The first line points to what the lead asked.
- One fact, never several.
- A time for the next contact.
- One step, either a link or a question.
- No prices, no firm dates and no advice that has not been approved.
How to adapt one
- Pick the example nearest to your business.
- Replace the facts with your approved ones.
- Paste in two of your own best replies so AI learns your voice, as in How to brief AI like a senior hire.
- Test it on five past enquiries.
- Read every draft until edits become rare.

A caution about email rules
If your reply or follow up promotes your business, check the rules. The FTC says the CAN-SPAM Act covers all commercial email, including business to business: accurate sender details and subject lines, your valid postal address and a clear opt out honored within 10 business days. Messages that only facilitate an agreed transaction are treated differently. Read the FTC guide for your case, and local rules outside the US. This is general information, not legal advice.

Can I paste one straight into my setup?
Use it as a pattern, then replace every fact with your approved ones.
Which example is best?
None is best. Choose the one closest to your business and test it on past enquiries.
